How does the pre-production process work?

Learning how to sort through the information you'll receive from us will be vital for a simple, smooth prepro process.

How you'll receive information:

  • Google Calendar (You'll need a Google Account)
  • Trello Board (If a shoot has multiple shooters)

To keep things simple all of the information for the shoot will be contained within the first Google Calendar Invite you receive.

The contents of this Google Calendar invite will include:

  • Address
  • Onsite Point of Contact
  • Parking and Entry Notes
  • Shoot Notes

Important Note

The shoot notes will include notes for the photographer..."SHOOTING...." as well as notes for the editor... "DELIVERING..." Please ignore the notes for the editor.

For solo shoots, you will also receive a shared Google Calendar with client appointments. This is specifically for single photographer shoots with pre-scheduled appointments. Keep in mind, you will NEED a Google Account to receive this information. For easiest viewing, set your GoogleCalendar view settings to "Schedule." This way, you'll be able to see all times for load in, appointments, breaks, and suggested load out timing. An example is included below:

Now, let's talk about shoots with multiple shooters. You will receive a Trello board for multiple photographer shoots with pre-scheduled appointments. The board will be sent to all photographers and 1 admin to check-in guests. A separate schedule will be sent in the GoogleCalendar Event invite to show load in, break times, and suggested load out timing. Additionally, you will receive a Handoff Email to introduce you to our Post Production Managers.
